APPLICANT PRIVACY POLICY AND NOTICE

1. Our Commitment

Signarama Stonington (“Signarama,” “we,” “us,” or “our”) respects the privacy of individuals who apply for employment or otherwise express interest in working with us.

This Applicant Privacy Policy explains what personal information we collect during recruiting and hiring, how we use and protect it, and the choices available to applicants. It applies to applications submitted directly to us, through CareerPlug, through a job board, by email, in person, or through another recruiting source.

This policy applies only to employment applicants and candidates. It is not an employment contract or a promise of employment.

2. Information We May Collect

Depending on the position and stage of the hiring process, we may collect:

  • Name, address, email address, telephone number, and preferred communication method.

  • Résumé, application, cover letter, employment history, education, training, licenses, certifications, skills, and professional qualifications.

  • Answers to screening questions and information about availability, scheduling, compensation expectations, and work authorization.

  • Interview notes, assessment results, work samples, reference information, and communications with you.

  • Information received from professional references or other sources you authorize us to contact.

  • Information needed to prepare an offer, verify employment eligibility, or complete onboarding if you are hired.

  • Background-check information when permitted by law and appropriate for the position. Any required notices and authorizations will be provided separately.

  • Voluntary equal-employment-opportunity information when requested or legally required.

  • Information provided in connection with a request for reasonable accommodation.

  • Application-source information and limited technical data generated when you use CareerPlug, a job board, or another online application service.

  • Records of email, telephone, or text-message communications related to your application.

Please do not provide a Social Security number, banking information, medical records, account password, or other sensitive information unless we specifically request it through an authorized and secure process.

3. How We Collect Information

We may collect applicant information:

  • Directly from you.

  • Through CareerPlug and other recruiting or applicant-tracking services.

  • Through job boards or recruiting websites.

  • From references, former employers, or other persons you authorize.

  • From background-screening providers after any legally required notice and authorization.

  • From publicly available professional sources when permitted by law.

If you apply through a third-party job board, that organization’s privacy policy may also apply to information it collects before transferring your application to us.

4. How We Use Applicant Information

We use applicant information to:

  • Receive, review, and evaluate applications.

  • Determine whether qualifications appear to match an open position.

  • Communicate about applications, interviews, assessments, offers, and hiring decisions.

  • Schedule interviews and manage the recruiting process.

  • Verify information provided during the application process.

  • Contact professional references when authorized.

  • Conduct legally permitted background checks when appropriate.

  • Provide reasonable accommodations during recruiting.

  • Prepare employment offers and complete onboarding.

  • Maintain required recruiting and employment records.

  • Protect our applicants, employees, customers, systems, property, and legal rights.

  • Comply with applicable laws and respond to lawful government requests.

  • Analyze and improve our recruiting processes using aggregated or de-identified information.

We will not sell applicant personal information or use it for unrelated third-party advertising.

5. Recruiting Technology and Automated Tools

We may use recruiting technology to organize applications, identify stated qualifications, manage candidate communications, assist with scheduling, and support consistent review processes.

Technology may assist our hiring team, but final employment decisions are made by authorized individuals. We do not intend to make final hiring decisions solely through automated processing without human review.

Applicants may contact us if they need an accommodation or an alternative application method.

6. Text Messages and Electronic Communications

If you consent to receive recruiting text messages, we may use text messaging for application confirmations, interview invitations, reminders, and hiring updates. Message and data rates may apply.

You may withdraw consent to recruiting text messages at any time by replying STOP. Withdrawing text-message consent will not affect consideration of your application. We may continue to contact you through another method when appropriate.

7. When We Share Information

We may share applicant information only as reasonably necessary with:

  • Employees and managers involved in recruiting, interviewing, hiring, human resources, information technology, or legal compliance.

  • CareerPlug and other vendors that provide applicant tracking, communications, document storage, background screening, or related recruiting services.

  • Professional advisers, including attorneys, accountants, insurers, or consultants, when reasonably necessary.

  • Government agencies, courts, law enforcement, or other parties when required by law or needed to protect legal rights, safety, or property.

  • A successor organization in connection with a merger, acquisition, financing, reorganization, or sale of the business, subject to appropriate confidentiality protections.

Service providers are expected to use applicant information only to provide authorized services or fulfill legal obligations.

8. Equal Employment Opportunity and Sensitive Information

Information voluntarily provided for equal-employment-opportunity reporting will not be used unlawfully in employment decisions.

Information concerning disability, medical needs, or reasonable accommodations will be handled confidentially, shared only with persons who need it for an authorized purpose, and maintained separately when required by law.

9. Retention and Deletion

We generally retain applicant and recruiting records for two years after the applicable position is filled, closed, or otherwise concludes.

We may retain information longer when:

  • Required by employment, recordkeeping, tax, regulatory, or other laws.

  • Needed for a pending complaint, investigation, audit, claim, or legal proceeding.

  • You ask us to consider you for future positions.

  • Necessary to protect our legal rights or maintain essential business records.

If you are hired, relevant application information may become part of your employment records and will be retained under the applicable employee-record schedule.

When information is no longer reasonably needed, we will delete, anonymize, or securely dispose of it, subject to the capabilities and retention requirements of our service providers.

10. Security

We use reasonable administrative, technical, and physical safeguards intended to protect applicant information against unauthorized access, use, alteration, loss, or disclosure.

No method of electronic transmission or storage can be guaranteed to be completely secure. Applicants should use caution when transmitting sensitive information and should report suspicious recruiting communications to us.

11. Applicant Requests

You may contact us to:

  • Ask what applicant information we maintain about you.

  • Request correction of inaccurate or incomplete information.

  • Update your contact information.

  • Withdraw from consideration.

  • Request deletion of applicant information, subject to legal and record-retention requirements.

  • Withdraw consent to optional recruiting communications.

  • Ask questions or raise concerns about our privacy practices.

We may need to verify your identity before completing a request. We may deny or limit a request when retaining the information is required or permitted by law.

Applicants seeking deletion of information stored in CareerPlug may also contact CareerPlug’s support team. A request affecting legally required employer records may be limited until the applicable retention period expires.

12. Changes to This Policy

We may revise this policy to reflect changes in our recruiting practices, technology, service providers, or legal requirements. The current version will display its effective date or last-updated date.

Material changes will apply prospectively unless otherwise required by law.
